Auction Volunteer Jobs

Important short-term volunteer jobs for the 2009 Auction:

Acquisitions:

  • Persons to go to their friends , family and businesses to ask for donations, sponsorships and underwriters. Very important and easy job to fulfill!!
  • Mail out thank you letters to donors after the events.
  • Person to donate or underwrite knit hats with conquistador for baskets/ grab bags and prizes. Person to donate the embroidery for the hats.

Auction Night:

  • Persons to write descriptions of baskets for display on tables two weeks before the event.
  • Person to coordinate table display arrangements for tables the week before the event.
  • Person to coordinate moving and operating Serra’s viewing screen and computer laptops for the event. (ASB students are creating the programs we will be showing at the live auction items but can not be present to run them.)
  • Person to coordinate between the ASB students and the Auction night volunteers and the acquisition’s people for all the content needed to be inputted.

Publicity:

  • Person to work with Jeff Thomas to plan marquee advertisement of Auction and do follow/up with the community for effectiveness of that concept.
  • Persons to Distribute posters to local businesses to advertise event.
  • Invitations, reservations and check-in:
  • Persons to underwrite the printing of the invitations. ( approx. $200)
  • Person to underwrite cost of program printing. ( approx. $200)
  • Someone to get a list of all alumni to send invitations. We have the information to pull list from.
  • Person in charge of inviting all past presidents of the Foundation.
  • Person to invite all past attendees who do not have students at Serra anymore and donors.
  • Persons to run the check-in table at the door.

Packaging:

  • Creative and artistic persons to arrange baskets and decorate.
  • Organized persons familiar with auctions to plan positioning of baskets on correct tables for best bidding opportunities.
  • Persons to transport and/or arrange tables morning and afternoon of auction.
  • Person to provide security at Town and Country room from 10 am to 1 pm and 1-5pm on day of auction.
  • Persons to place bid sheets on tables.

Check out:

  • Runners to collect baskets and winning bid sheets after close of each table.
  • Persons to assist the check out people with bid sheets, credit card payments and receipts.
  • Persons to facilitate getting baskets paid for early in the evening before the live auction to avoid the rush.

Photographer:

  • Take digital photos of the guests and festivities for a historical record of the night.
